New York University Abu Dhabi (NYUAD) seeks to appoint an Associate Director, Faciltiies Management, reporting to the Associate CABO, Facilties Services and Real Estate Operations.
This position’s primary responsibility is directly managing the Facilities Management service provider. The scope of this provider broadly includes facilities maintenance, repairs, facility operations, asset management, and help-desk services. This position has key reporting responsibilities to the institution and government partners, along with ensuring regulatory compliance with government regulations.
Key Responsibilities:
Supervision of the Facilities Management Service
Coordinate, manage, and monitor the workings of the FM Service Provider to ensure the assets entrusted to NYUAD are maintained and operated in an effective manner and in accordance with the service agreement
Lead, plan, and coordinate the operations, maintenance, repairs, and custodial care of all academic, administrative, residential, and auxiliary building and structures, including utilities, building systems, and components
Provide assistance and technical advice to facility related issues.
Develop and track KPI’s for the Service Provider. Monitor all PPM and CM tasks to ensure completion by the Service Provider on time with an annualized passing score of 92% or greater and without disrupting the operation of the Institution.
Investigate complaints and resolve issues related to the provided services.
Identify risks, develop a risk register with a mitigation plan; conduct facility condition and risk assessment surveys
Provide guidance for energy efficiency and water conservation to promote a sustainable operation
Develop and prepare all reports and budgets to support the FM service
Strategy and Communication
Manage campus stakeholders; engage regularly to assess the levels of service and support
Develop and maintain positive working relationships with service providers and contractors
Monitor adherence to EHS, Compliance, and SCC rules and regulations
Develop and implement departmental policies and procedures; identify and manage departmental risks
Maintain positive working relationships with government partner and authorities
Asset Management
Develop policies and procedures for safeguarding and efficient management of the assets of the Institution
Oversee the maintenance of the Fixed Asset Register and Operational Asset Register; ensure logistics process accurately receives, verifies, and records assets on CAFM
Manage disposal of assets, in accordance with the approved disposal process; secure necessary approvals for disposal of assets
In conjunction with Finance, develop CAFM system to maintain asset information
Manage audits undertaken by the Government Partner; satisfy internal audit requirements of the Institution
Develop and prepare all reporting around asset management; ensure alignment and approvals (as required) with the Government Partner
Fiscal Responsibilities and Best Management Practices
Assist in the development of the FM annual operations budget
Advise on the Life Cycle budgeting needs annually and 5-year plan
Review and approve expenditures in the FM Opex budget
Develop cash flow forecasting for the FM budget
Develop policies and procedures (as required) related to Facilities Operations
Resource Management
Supervise the FM team, delegating work effectively and collaboratively, setting clear accountabilities within the team
Establish work schedules with proper coverage
Evaluate team performance; provide training opportunities where needed
Regularly evaluate team capacity and capabilities
Assist with ad-hoc initiatives as required by campus leadership
Required Education:
Bachelors Degree in Engineering or related field
Required Experience:
7+ years experience in facilities management
3+ years experience in a supervisory role
Experience managing operational services in line with defined SLA’s
Experience managing diverse operational and business services to end users
Experience in developing project budgets and scopes related to the maintenance and servicing of equipment and systems
Strong technical knowledge of commercial building systems
Ability to engage confidently with people at all levels
Ability to understand and interpret the needs of the Institution relative to operational service provision
Strong written and verbal communication skills
Effective in fast-pace environments
Strong commercial and financial awareness
Excellent verbal, analytical, and problem-solving skills
Knowledge in negotiation and conflict management
Capabilities with Microsoft software applications (Word, Excel, and PowerPoint)

Foster teamwork to sustain exceptional levels of performance
Preferred Education:
Certification in sustainability such as LEED or Estidama
Preferred Experience:
Broad knowledge of service mangement concepts
