New York University Abu Dhabi (NYUAD) seeks to appoint an Assistant Manager, Social Science Research reporting to Associate Dean of Administration and Planning, Social Science.
The Assistant Manager, Social Science Research provides assistance in the management of the divisions research structure and communications. Social Science has Lab Directors (9), Assistant Dean of Administration and Dean of Social Science. Situated at the front lines operating as a triage unit that can diagnose and identify systemic issues, this role is enabled to escalate issues to the appropriate departments while demonstrating a high level of customer service to faculty, staff, and peers. This position reports directly to the Assistant Dean of Social Science.
Job responsibilities:
Research & Communications Management
- Supervises research operations with faculty, researchers and labs and the hiring and admin training of researchers
- Supervises 3x administrative staff to ensure deadlines are met and work is accurate and accounted for
- Manages and oversees input from full divisional team for all research programming scheduling and communications trackers and reviews work for accuracy
- Act as a point person for all Social Science faculty, Program Head, Student Rep, Lab Directors and Centre PI’s in regards to all Research, conference and communications/branding queries, be able to advise accordingly and connect with relevant other divisions/departments/stakeholders when necessary
- Manages reporting and analysis for all websites and external publishing sites which are presented to the Dean & Assistant Dean monthly
- Develops and implements a comprehensive internal communications strategy. Creates engaging and informative content, and disseminates them through various channels (Web, internal newsletter, Email comms from Dean’s Office, divisional digital billboards, poster advertising across campus, etc.)
- Manages requests and oversees complex escalations with Procurement, IT, Public Affairs, Web Team and Student Affairs
- Serves as liaison to all affiliated vendors to negotiate costs and supervise scheduling/arrangements for services
- Training and troubleshooting for Faculty, Post Docs and Students regarding procurement of merchandise and brand guidelines
- Processing of suppliers, contracts and invoices
- Act as the divisional expert and have current advanced knowledge of policies and procedures that faculty and researchers are using on a regular basis
- Oversight of monthly Tamkeen report and annual faculty activity report, management and execution, of up to 10 lab budgets per academic year
- Prepare progress reports and project status and escalate any deviation from goals
Research Conferences
- Manage the conference process for all labs, programs and interdisciplinary post doc program, from planning to execution for budgets, third party brands, space, coordination with post award and PI’s, Faculty and Lab Directors
- Manage conference budget and tracking, and liaise between NY and Abu Dhabi
Divisional General Management (Back up)
- Act as delegate to the Assistant Dean occasionally, cover as back up supervisor responsible for checking documentation for error and adherence to policy prior to requesting Dean’s approval
- Work directly with the Dean on all approvals, faculty affairs and staff supervision
- Attend Exec Comm Meetings and prepare presentations, appropriate reports and prior research to act in an advisory capacity to the committee
- Prepares materials and reports for distribution to internal and external audiences, administrative officers, faculty, and staff
- Maintains documentation of all information from faculty meetings, and weekly planning meetings
- Oversight of the admin team supporting the Dean; oversees her calendar, travel, expenses, IT, and all ad hoc requests
- Oversight for on boarding/off boarding for the division, space, faculty and staff recruitment
Required Education
- Bachelors Degree in a related field, or a relevant advances certification of professionsl qualification diploma
Required Experience
- 5+ years in a comparable position. Experience providing a high level of customer service to senior stakeholders
- Excellent interpersonal, written, and verbal communication skills
- Ability to interact professionally at all levels, capable of representing the Dean in the presence of international visitors, scholars, peers, senior leadership and team members whose work is important to the functioning of the Division of Social Science
- Superb organizational skills, an ability to manage and prioritize multiple projects to meet tight deadlines
- Professional maturity and judgment consistent with leadership-support responsibilities, including exceptional discretion and a capacity for resourceful initiative in a team context
- Skilled in dealing with people, using tact, diplomacy and intercultural sensitivity, and the ability to maintain a high level of confidentiality
- Advanced web design and business English writing skills
- Microsoft office, excellent communication skills, excellent organizational skills and management skills
- Project Management, expedition and analysis skills
- Knowledge of university shared governance (preferably in a North American University context)
Preferred Education
- Bachelor's Degree with a strong Business Administration background; advanced degree welcome
- Management certification welcome
