New York University Abu Dhabi (NYUAD) seeks to appoint an Outreach and Center Administrator, Center for Genomics and Systems Biology (CGSB) reporting to the Head of CGSB Administration and Outreach.
The Outreach and Center Administrator plays a key role in managing the marketing, events, administration, and human resources functions of the Center for Genomics and Systems Biology (CGSB) at NYU Abu Dhabi. This position is responsible for coordinating outreach activities, organizing events, maintaining digital and social media presence, and ensuring efficient administrative operations.
The role involves project managing large-scale events, liaising with internal and external stakeholders, overseeing branding and communications, and ensuring the seamless execution of outreach initiatives. Additionally, the administrator provides high-level administrative support, including documentation management, stakeholder coordination, and procedural oversight. The position also plays a key role in HR coordination, supporting the hiring, onboarding, and reporting of researchers and staff.
A strong understanding of event planning, communication strategies, project management, and administrative processes is essential for success in this role. The administrator works closely with faculty, researchers, and institutional partners to enhance CGSB’s visibility and operational effectiveness.
Key Responsibilities:
Marketing and Events:
- Work in conjunction with the Web and External Affairs regarding press releases and events
- Responsible for routinely updating website with research, news and events
- Maintain databases with content; independently edit photos or content and build on the CMS
- Assist the CGSB team in organizing small and large-scale events held by the Center and project managing them (e.g., workshops, conferences, panels, advisory board meetings, etc.)
- Assist with all logistics for travel, event spaces, lodging, catering, and transportation in the UAE
- Plan and support school visits, fairs in UAE/MENA region. Identify appropriate target schools; contact schools to arrange/facilitate visits, on- or off-campus.
- Initiate relationships with new schools and counselors; cultivate ongoing relationships with established contacts.
- Track progress and coverage of school territory, particularly within the UAE
- Support outreach activities with follow-up correspondence and efforts; provide one-on-one technical support with all aspects of NYUAD's application process to interested parties
- Work closely with the NYUAD design team to ensure all branding-related requirements for events – designs, collaterals, giveaways, etc., follow the style guide
- Schedule content and maintain the social media channels (Facebook, Twitter, Instagram, YouTube and Facebook); gather content and imagery; and draft correspondence
- Ensure weekly posting calendar is up to date
- Collect and generate monthly qualitative reports and feedback about events and social media metrics for inclusion in larger organization-wide reports to external stakeholders
- Foster relationships with key stakeholders; engage with partner communications teams and leverage opportunities for cross-promotions, strategic events, and media coverage
- Work with the Center Head for Administration and outreach to develop and implement initiatives that increase Center visibility and awareness within the surrounding community
- Will be responsible to draft event’s budget and bookkeeping the expenses
Administration:
- Responsible for short- and long-term center planning, manage administrative function to support and lead Center to success
- Use effective methods to review and improve operations
- Responsible for all center activities and reporting mechanisms (ex. stakeholder reports, financial reports)
- Organize and maintain databases, files and all records pertaining to the Center
- Act as stand in for Principal Investigators, attend meetings on their behalf
- Provide administrative and organizational support for the day-to-day running of the office
- Draft and finalize correspondence on behalf of the center, some of which may be sensitive or confidential matters; Develop presentations for internal and external audiences
- Coordinate with project partners (advisory board members, funding agencies, foundations, companies etc.)
- Manage the Center EndNote for publications
- Manage the Center Physical Inventory and equipment tagging process
- Provide high-level administrative/ financial support to the Head of Administration and Operations
- Responsible for meeting minutes, maintaining dynamic distribution lists and communicating divisional wide announcements and communications, coordinating internal meetings and with New York, and maintaining mailing lists, databases, and files
- Draft correspondence, reports, proposals, and other documents, some of which may be sensitive or confidential matters
- Understand faculty finance policy related to research accounts and events travel and spending
- Develop, update, and maintain office procedures regularly as part of the continuous improvement process in the office
- Be able and available to take on new tasks when needed with large projects and provide cover when administrative staff are on leave
Human Resources:
- Coordinate the PI human resources needs and advise on HR matters
- Oversee hiring plans, staffing process; develop recruitment strategies as needed
- Coordinate on and offboarding process for researchers, staff and visiting researchers
- Collect and generate monthly qualitative reports and feedback about recruitment progress for inclusion in larger organization-wide reports to external stakeholders
- Responsible on reporting budget for the Center’s hires to the Center’s Head for Administration and Outreach
Required Education:
- Bachelor’s Degree in Business Administration, Communications, Public Relations, Science Communication, Event Management, Education, Project Management, or related fields
Preferred Education:
- Advanced Certification or Professional Qualification Diploma
Required Experience:
- 3–5 years of experience in event planning, outreach, communications, or administrative roles in an academic or research setting
- Experience managing social media, databases, and digital content
- Proven ability to organize events, workshops, and conferences
- Strong background in office administration and financial reporting
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to coordinate large-scale events and outreach programs
- Proficiency in Microsoft Office, database management, and social media platforms
- Understanding of faculty finance policies, research funding, and budgeting
- Ability to draft correspondence, reports, and presentations professionally
- Records maintenance skills and managing physical inventory
Preferred Education:
- Master’s Degree in Communications, Public Relations, Marketing, or a related field
Preferred Experience:
- HR-related certification (SHRM, CIPD) for those with HR responsibilities
- Familiarity with CMS (Content Management Systems) for website updates
- Knowledge of graphic design and branding guidelines for marketing materials
- Ability to liaise with internal and external stakeholders to promote the Center’s initiatives
- Experience using EndNote or similar citation management tools
