New York University Abu Dhabi (NYUAD) seeks to appoint a Student Persistence and Well-being Specialist reporting to the Associate Director, Health Promotions.
The Student Persistence and Well-being Specialist will manage administrative functions key to the successful execution of health and well-being related programming in the department of Student Persistence and Well-being. The Specialist’s primary role will be in managing all logistical requirements related to mandatory and opt-in initiatives while providing operational support to ensure successful execution including large scale departmental initiatives such as The RealAD Show and mandatory risk-reduction training. The role will work to fulfill on-ground support for initiatives, ensure staff coverage, and serve as a front-facing team member to direct inquiries in the appropriate channels. The responsibilities of this role may occasionally involve handling sensitive data that requires strict confidentiality. Additionally, the position may necessitate evening and weekend work during the academic year.
Key Responsibilities:
Mandatory and Opt-in initiatives logistics and administrative duties
- Work with Associate Director to provide on-ground support and lead efforts in coordinating logistics for mandatory and opt-in Health Promotions programming, in-person attendance tracking, manage logistics on all large-scale events, as well as meeting logistics- including on-ground oversight of space, catering and technology to ensure maximum efficiency, manage any related event and travel logistics, send out communications, and campaigns utilizing various platforms and integrations, usher external speaker visits on campus, manage schedules and build itineraries pertinent to the initiatives, manage day-to-day office budgets and operations within an allocated budget, reconciliations and breakdown
The RealAD Show program support
- Work with the Associate Dean of Students and Associate Director to fulfill all required support for all logistics related to the RealAD show- including on-ground support, manage space booking, catering orders, audition promotion, creating contracts, organizing travel arrangements, budgetary support, coordinating with the NYUAD Special Events team and external vendors when applicable, resolving real-time concerns and issues swiftly, sending out communications on various platforms key to the department. In addition, this role will require to be present on the days for event support
Operational responsibilities
- Serving as a front-facing member to meet and greet students, faculty and staff to field inquiries related to mandatory risk reduction requirements or services in directing to appropriate channels. This position will ensure operations for programs are executed effectively with ongoing touchpoints to ensure operational needs are met including collaborating within Student Affairs and/or other institutional constituents, resolving real-time concerns that arise by interfacing with service center, facilities, space booking, space set up and management, receiving deliveries from vendors and tracking inventories, finance related queries, changes, and efficiencies that impact business needs
Executive-Level Support & Budget Management
- Provide comprehensive executive-level support to the Associate Dean and Director of Student Persistence and Well-Being including, calendar and schedule management, monitoring and ensuring follow-up correspondence, and assists in tracking costs, expenses and budgets of the department. Prepares and processes reimbursements, provides ad-hoc support on as needed basis for the department, and reports about balances, expenditures and resolves any real-time budgetary concerns
Data management and reporting
- Performs a wide range of administrative duties including managing and developing systematic workflows for mandatory and opt-in initiatives that lead to their successful execution, including overseeing online file storage, efficient archiving and organization of team files/documentation, collate and report multivariate data comprehensively, and represent these in formats as required. This position will also be in charge of sending feedback surveys and utilizing the data framework to integrate into program support that help guide offerings and services
Assist with departmental ad-hoc needs and represent the department in Student Affairs divisional projects/events
Required Education:
- Bachelor's Degree in a related field
Preferred Education:
- Bachelor’s Degree in Business and Organization
Required Experience:
- 5+ years of office management experience in a comparable position, preferably in international education with college students, or alternatively with a multi-national corporation or established international company, private organization, or governmental body operating in the UAE
- Experience in providing on-ground support in logistical and administrative work that lead to successful collaborations and high quality of student initiatives
- Ability to work nights and weekends over the academic year to manage key operational functions including being present on site if need be to ensure smooth execution
- Strong written and oral communication skills; candidates also possessing comparable Arabic language proficiency will receive priority consideration
- Ability to prioritize and to handle multiple projects on tight deadlines, organized work habits, consistent accuracy, and attentiveness to detail
- Capacity to work collegially and flexibly in a start-up setting characterized by a complex organizational structure
- Excellent word processing and typing skill
- High proficiency in operating all systems on Google and Microsoft
- Advanced data management skills; ability to use and adapt spreadsheet software for accounting
- Professional maturity and judgment, including exceptional discretion and a capacity for resourceful initiative in a team context
- Excellent presentation, written, and oral communication skills
- Good judgment, discretion, independence, and initiative. A capacity to work collegially and collaboratively with diverse stakeholders
- An ability to prioritize and handle multiple projects on tight deadlines, organized work habits, consistent accuracy, and attentiveness to details

- Office Management, Event Management, Business Resiliency and Organization
- Developing systems that optimize workflow processes in logistical operations
- Experience in collating and sorting multi-variant, multi-vector data into reports and presentations
- Experience working with diverse populations and cultural contexts, including experience and familiarity working with higher education and student affairs
