New York University Abu Dhabi (NYUAD) seeks to appoint an Assistant Dean of Administration, to assist with driving the planning, implementation and ongoing maintenance of the departments academic and administrative strategy 

In this role, the Assistant Dean is responsible for developing detailed plans, holding members of senior leadership, including administrative and academic leaders, accountable for key deliverables and developing valuable performance metrics to measure progress. The Assistant Dean will also advise on high-level strategic initiatives, will represent the program and the Dean when necessary, and will be tasked to lead special strategic projects for the department. 

The Assistant Dean will be tasked to advise on high-level strategic initiatives, lead and manage special strategic projects for the department Dean at NYUAD, and help execute and manage strategic initiatives and priorities in collaboration with the Dean. Also, the individual will track the status and progress of strategic initiatives and academic and administrative goals, support the Dean’s office in producing financial reports and annual budgets and oversee projects to ensure the Dean’s agenda is effectively moving forward according to plan while meeting objectives, milestones, and metrics.

The incumbent will manage the administrative components and communications interface for the Dean’s office, support the Dean’s office in the prioritization and execution of projects and initiatives from regular executive meetings, periodic academic retreats, and/or committees.  They will also research and prepare materials used by the Dean in the management and assessment of appropriate departmental functions.

The Assistant Dean will represent the Dean’s Office at official engagements and meetings; speaking on behalf of the Dean and representing the position and interests of the department, as needed. They will also supervise and provide oversight and coordination for the work of the Executive Assistant. 

Key Responsibilities:

  • Assist the Dean in developing and creating strategic plans and initiatives
  • Develop and manage academic and administrative plans
  • Implement and execute plans with the appropriate academic, operations, and finance management teams
  • Track measures, status, and progress of plans in coordination with the responsible units
  • Generate reports for internal and external stakeholders to ensure that the various programs are meeting goals and objectives
  • Advise leadership on plan adjustments necessitated by changes to academic, operational, or financial conditions
  • Responsible for the design and execution of the annual planning process for the Dean
  • Directs all operations of the Office of the Dean, including management and support of administrative staff, creation of and adherence to policies and procedures, and management of the Dean’s departmental budget to ensure efficiency and effectiveness and optimal use of available resources
  • Manages a wide range of matters of institutional importance on behalf of the Dean and will represent the Dean in selected internal and external interactions with faculty, staff, students, alumni, University administrators, and professional and community leaders. Represents the Dean at meetings as requested
  • Participates and communicates the Dean’s position and priorities
  • Researches and prepares analysis on a variety of matters, including academic and administrative matters
  • Communicates with internal and external stakeholders to interpret and clarify policies and procedures
  • Monitors for, and understands, significance of ongoing and emerging issues/ challenges/ opportunities that need attention and resolution by the Dean
  • Communicates regularly with the Dean on those matters to assist the Dean in navigating through those issues
  • Determines appropriate course of action, provides recommendations to the Dean and seeks direction on desired responses to deal with those matters either by the Dean or on their behalf
  • Represents the Dean and interacts with various constituents on behalf of the Dean in respect of emerging/ongoing issues
  • Facilitates communication between various constituents 
  • Directs the administrative coordination, strategic planning, and execution of the Dean’s Office communication strategy and academic calendar (based on strategic priorities)
  • Researches/Drafts/Edits a variety of non-routine and complex written materials, including briefings, white papers, proposals, articles and speeches on behalf of and in consultation with the Dean ensuring high-quality communication that is compelling, creative, and original, and as appropriate to the situation and reflective of the style of the Dean
  • Reviews and edits materials prepared for the Dean by others to ensure appropriateness of content and style
  • Conducts periodic audits of routine correspondence or e-mails on behalf of the Dean, ensuring appropriate messaging in terms of contents and style and provides accurate information in a professional manner to internal/external constituents
  • Anticipates, identifies, and conducts research on behalf of the Dean on policy and other ongoing/emerging matters of importance providing data, analysis, and factual information
  • Submits recommendation to Dean based on research and analytics
  • Acts as a liaison to the campus community on institutional and/or personal issues of sensitive nature or otherwise; serves as primary point of first contact on behalf of the Dean
  • Articulates the concerns of individuals or groups to the Dean and suggests resolution
  • Resolves urgent, sensitive and confidential issues or concerns in consultation with and on behalf of the Dean using judgment and utmost discretion
  • Establish clear performance expectations, provide appropriate feedback, recognition, and rewards
  • Identify opportunities to strengthen performance and promote advancement
  • Addresses and resolves performance and/or disciplinary issues
  • Demonstrates awareness, respect for and experience in dealing with the local culture
  • Supports the school’s principles of diversity, equity and inclusion

Required Education:

  • Bachelor’s degree or equivalent combination of education and experience

Required Experience:

  • 7+ years of office management experience providing a high level of customer service preferably in an academic and/or a research-driven environment
  • Relevant and recent experience in a higher education institution supporting academic leadership and faculty, participating in strategic planning or an equivalent combination education and experience
  • Experience with an established international company, private organization, or governmental body operating in the U.A.E. Experience working with institutions of multinational nature
  • Superior verbal and written communication skills in English with demonstrated ability to adapt communication style to address needs of community
  • Ability to engage productively with diverse populations
