New York University Abu Dhabi (NYUAD) seeks to appoint a Research Project Coordinator reporting to the Global Network Associate Professor of Psychology.
The Coordinator will provide high-level administrative support to the faculty supervisor(s) in the areas of short- and long-range planning of the project activities, implementing and managing day-to-day procedures, coordinating, planning and overseeing the project’s operations including financial activities, calendar, general activities, conferences and workshops, travel, catering, community outreach and onsite support for both internal and external colleagues. The coordinator will communicate between the faculty supervisors, researchers and students, and will also communicate with the relevant corresponding parties at the NYUAD academic and research divisions. The position will coordinate the team’s activities by scheduling meetings and seminars, and will provide logistic support to the visitors, lectures, and other contacts in and outside campus. The coordinator will provide administrative support with the new hires, and will also help with preparation of materials for annual, mid-term, and final reports.
A second major component is supporting research related-activities, including preparation and managing IRB approval, and contacting, scheduling and following up with study participants.
Key Responsibilities:
Handling the administrative aspects of the project to satisfy its defined scientific objective
Establishing and maintaining a collaborative inter-institutional relationships with different collaborators
Monitoring project progress
Independently responsible for project activities and reporting mechanisms (i.e. annual reports to funding partners, Financial reports, etc.)
Track milestones and deliverables
Report status of key milestones
Organizing and maintaining databases, files, etc.
Handling the HR aspects of the project to satisfy its defined scientific objective, coordinating with the supervisor(s) and human resources the hiring, review process, onboarding/off boarding processes
Responsible for office/space assignment, arranging and managing travel requests and accommodation
Handling the financial aspects of the project to satisfy its defined scientific objective; establishing and maintaining budgets
Conduct financial administration in collaboration with supervisors, grants teams, financial department
Development of p-card and specialized purchases
Act on behalf of supervisor(s) with external vendors
Managing all financial processes and reporting systems (POs, invoicing, reimbursements, honorariums)
Responsible for all budget management and management sub-awards/external grants (application, pre-award, award and post-award)
Processing all expenses and reports accurately and on timely manner
Provide administrative and organizational support for the day-to-day running of the project Draft and finalize correspondence on behalf of supervisor(s), some of which may be sensitive or confidential matters
Develop presentations for internal and external audiences
Development of annual research reports and grant reporting
Coordinate all small and large scale meetings, seminars, events and workshops
Responsible for updating website(s)
Maintain databases with related content
Independently edit photos or content and build on the CMS
Respond to and archive inquiries
Supporting research related-activities, including preparation and managing IRB approval, and contacting, scheduling and following up with study participants
Required Education:
Bachelors Degree
Preferred Education:
Bachelor’s or Master’s in a relevant STEM field with prior research project management experience
Required Experience:
2 years of experience with administration and managing finances and administrative matters within an academic research lab
Experience managing multi-investigator projects of moderate to large scope is a plus
Attention to detail, demonstrated problem-solving and decision-making capabilities, and articulated oral and written communication skills are essential
Excellent communication and writing skills
Flexibility with professional communication and good interpersonal skills
