New York University Abu Dhabi (NYUAD) seeks to appoint a Specialist, Regional Academic Seminars. 

The Specialist is responsible for the production of Regional Academic Seminars (RAS), which includes several suites of programming: J-Term, AEP, EfSI, and Arabic and Chinese Language. The Specialist also coordinates pilot/special courses, provides operational support for visitor arrangements, as well as for summer experiential learning programs.

Key Responsibilities:

  • Procuring visas, problem-solving and liaising with students and external partners (Nirvana, embassies and consulates) around the procurement of visas
  • Sourcing engagements and travel options for seminars
  • Producing logistics related to engagements and travel for all regional academic seminars. This includes ticketing, reserving accommodations, food and beverage orders, ground transportation, admission tickets, equipment, and other seminar-specific travel support
  • Sourcing health and safety information for PDO books/HWC needs (US State Department and CDC travel advisories) and serving as incident response point person during seminar travel
  • Provide first line incident response in communication with trip supervisors
  • Preparing electronic and paper materials and delivering pre-departure orientations
  • Creating/tracking budget for each seminar; communicating changes or concerns in a timely manner
  • Preparing and delivering handovers and conducting debriefings with trip supervisors.
  • Producing reports and generating quotes, best-of photos, stories and statistics for seminars
  • Supporting production and organization of J-Term events and faculty
  • Participating actively in post-J-Term team evaluations, debriefings and strategic planning. Collecting and preparing evaluation data from regional academic seminars for departmental reporting and ongoing improvements.
  • Provide administrative support to the Manager, Regional Academic Seminars, and Director
  • Coordinates and supports with logistics and operations for pilot, special and summer projects
  • Coordinates travel and visa logistics. Liaises with Nirvana and other campus offices to facilitate these visits

Required Education:

  • Bachelor’s degree

Required Experience:

  • At least 2 years of experience in global education-related field
  • Excellent written and oral communication skills
  • Excellent attention to detail and consistent accuracy
  • Proficiency with Word, Excel, Qualtrix, InDesign, web applications, and CMS management
  • Strong record keeping and data management skills
  • Ability to prioritize and to handle multiple projects on tight deadlines
  • Professional maturity and judgment, including exceptional discretion and a capacity for resourceful initiative in a team context
  • Experience working with college students desirable
  • Personal study abroad experience during college years desirable
